Here you'll find our policies and procedure and how we operate

Behavior Expectations:

Respectful Interaction: Treat all participants with respect, patience, and kindness, regardless of age, gender, race, religion, disability, sexual orientation, or other identities.
Harassment Policy: Harassment, bullying,
intimidation, discrimination, or unwelcome
attention will not be tolerated. This includes verbal abuse, stalking, unwanted photography or recording, sexual language or imagery, and physical intimidation.
Inclusivity: Maintain language and actions that foster inclusiveness. Avoid crude, sexist, racial, or otherwise exclusionary comments or humor, both in person and online.
Digital Safety: On digital platforms (Discord, Facebook, Instagram etc.), all above policies
apply. Respect other users’ privacy and avoid sharing personal information without consent.
Game Etiquette: Respect the games and
property of others. Follow the community rules, ensure games are shared, support new players, refrain from cheating and participate in the spirit of fun and fair play.
Respect the Room: Please remember that we host a family friendly environment.
We encourage individuals to express themselves through fashion but please dress respectfully -
No clothing with harmful slogans or slurs.
No sexually explicit clothing or accessories.
Offensive or crude tattoos to be covered.

Code of Conduct:

Here at Civitas, we aim to ensure all our social events, whether in-person or digital,
remain safe, inclusive, and welcoming for all
participants.
We expect our guests to adhere to our code of
conduct to ensure all users/ attendees have the best experience with us.
Please read the below policies to ensure you
understand and comply with the requirements of our community group.

Team Civitas

Reporting and Support:

Any participant who feels unsafe or witnesses unacceptable behavior should promptly notify event organisers or digital platform moderators. Organisers at in-person events can be identified by; our online portfolio ‘about us’ or at the sign-in and greet station, digital moderators have designated roles/colors on the Civitas Discord channel.
Concerns will be addressed confidentially and appropriately by the event organisers. These concerns can be raised in-person, by a written complaint via email/ socials or by requesting a private call through Discord.

Consequences for Policy Breaches:

Warning: For minor first-time breaches, a
clear warning will be issued.
Temporary Ban: Continued or serious breaches may result in removal from the current social
or digital event, and a temporary ban from
future events.
Permanent Ban: Severe or repeated offenses, particularly involving harassment, bullying, or threats, will result in a permanent ban from events and related digital platforms.
Police Intervention: If behavior endangers
personal safety, involves threats, or constitutes illegal activity, police or authorities may be
notified, and appropriate legal action
may be pursued.
